Tips

Get Fit
I did a class recently on getting your database in shape. Here are a few things to check.

  1. Are Vendors (Suppliers) associated with travel categories in their profile?
  2. Are Preferred Vendors (Suppliers) checked?
  3. Do you enter Trip Start and Return Dates in Res Cards or include in GDS accounting line entries?
  4. Are you using ClientBase to do invoicing to get consistent accurate invoices in back office (see next item)?

Time to Get Started
Many of you still enter your transactions in your GDS using scripts to get them to your back office. If you are a Trams Back Office or even a GlobalWare user, it's simple to create a transaction in ClientBase and invoice it. If you are a Trams user, the minute you invoice you are done.

If you use GlobalWware, Jeanne Fick can get you some help setting up the interface - jeanne.fick@trams.com. Here is the minimum data I would enter -
  • Trip Start and End Date in the ResCard
  • Check Region of the World in the ResCard
  • Add one Reservation with
    • Select Supplier (type in part of name and depress tab key)
    • Amount of the Trip
    • Commission amount
  • Then invoice. (Go to QA WebEx Session for Help Setting up Fast Invoice) or click for Quick Steps document.

Missing Customers?
Have you checked lately? Even if you don't invoice in ClientBase or Trams Back Office, here is a query that will work if you have been using Res Cards recently and know someone cruised with you in the past.

*** Profile Level 3 Filter Number 1 _____________________
(Profile Type [Leisure]) AND (Profile Status Is Equal to Active)
AND (Marketing: INTERESTS Is Checked [Cruises])
AND (ResCards Filter Type: Does NOT Have Any ResCard Records with the following criteria)
(ResCard Trip Start Date Is From "=0,0,0" [10/23/2010] to)
AND (Reservation Travel Category [Cruise])

Remember the Floating Dates?
Using =0,0,0 is the same things as typing in today's date. And if you save a query with it, it will always use the then current date. First 0 is day, second 0 is month and third 0 is year so =0,0,-1 is one year ago today. You can use this in any query for the date field. Look for more instructions in the help index by searching on date formulas.

TouchBase - It is Unanimous.
I can't find anyone who is using TouchBase who isn't happy with the results. We‘ve received some suggestions for enhancements, but overall, we're getting positive feedback from customers. Click to learn all about it. You can try it and if you don't like it - cancel anytime. And remember, we are constantly adding new email templates to the TouchBase library, so next time you log on, be sure to check out our new Thanksgiving, Passport Reminder and Welcome Home emails.
